Start with the decisions
Before replacing a spreadsheet, identify the decisions it supports. Which cells drive approvals, pricing, routing, assignment, status changes, or customer communication? Those rules are the product requirements.
Keep the first release narrow
The first software version should usually handle the highest-friction workflow, not every tab and every edge case. A narrow release gives users a stable place to work while the system learns from real operating data.
Design for audit and recovery
Spreadsheets often hide who changed what and why. Purpose-built software can add status history, notes, permissions, import/export paths, backups, and clear recovery options without making the workflow slower.
